Damage Policy

Car Rental Damage Policy

At EasyMyTrips LTD , we are committed to providing clean, reliable, and well-maintained rental vehicles. This Car Rental Damage Policy outlines the responsibilities of the renter, explains how vehicle damage is assessed, and describes the procedures and charges that may apply if damage occurs during your rental period.

1. Vehicle Condition at Pick-Up

Every rental vehicle is inspected prior to pick-up and a condition report documenting any existing scratches, dents, or imperfections is provided. Renters should carefully inspect the vehicle at collection and ensure that all visible damage is noted before accepting the car.

2. Renter Responsibility

From the time the vehicle is released until it is returned, the renter is responsible for its care and proper use. You agree to:

  • Drive the vehicle safely and in accordance with traffic laws.
  • Use the vehicle only for permitted purposes and authorized travel.
  • Take reasonable steps to prevent damage, loss, or theft.
  • Report any accident, damage, or mechanical issue immediately.

3. Classification of Damage

To ensure consistency, vehicle damage is categorized as follows:

  • Minor Exterior Damage: Light scratches, small dents, or paint scuffs.
  • Interior Damage: Burns, stains, tears, or excessive wear inside the vehicle.
  • Glass & Tire Damage: Broken glass, chipped windshields, punctured tires, or wheel damage.
  • Major Damage: Collision-related damage or structural impact.
  • Negligence-Related Damage: Damage caused by misuse, improper fuel, or policy violations.

4. Inspection and Repair Charges

Upon return, the vehicle is inspected against the original condition report. If new damage is identified:

  • Photographic evidence and a damage assessment report will be prepared.
  • Repair costs will be calculated using authorized repair facilities.
  • An administrative fee of up to $50 per incident may apply.
  • Charges may be deducted from the security deposit or charged to the payment method on file.

5. Optional Damage Protection

To reduce financial responsibility, renters may purchase optional Damage Protection or Insurance Plans during booking. Available options may include:

  • Collision Damage Waiver (CDW): Limits renter liability for collision damage.
  • Supplemental Liability Coverage: Covers third-party property or injury claims.
  • Personal Accident Coverage: Provides medical protection for occupants.

If no protection plan is selected, the renter remains fully responsible for all damage, loss, or theft costs.

6. Exclusions and Non-Covered Damage

Protection plans do not cover damage resulting from:

  • Driving under the influence of alcohol or drugs.
  • Use by unauthorized or unlisted drivers.
  • Loss of keys, documents, or vehicle accessories.
  • Negligence such as ignoring warning indicators or improper fueling.

7. Theft or Total Loss

In cases of theft or total loss, the renter may be liable for the full value of the vehicle unless appropriate theft protection was purchased. A police report and completed incident documentation are required immediately.

8. Disputing Damage Charges

If you wish to dispute a damage charge, a written request must be submitted within 7 business days of receiving the final invoice. Our claims team will review all documentation and provide a written response.
